About the job

We are seeking an Executive Assistant to support the CEO’s office as DFreight continues to expand globally.The role of Executive Assistant will be to manage the day-to-day organisation of the CEO’s office, including extensive calendar management, coordinating and organizing complex executive meetings, drafting agendas and taking minutes as well as ensuring that the CEO is well briefed in advance. The role will coordinate and act as liaison between the CEO and external stakeholders and media. You will manage all the travel requirements, both personal and business related and extensive meeting requests, which will require tact and diplomacy and an understanding of committing time and evaluating needs. Prioritization and discretion when managing the diary will be paramount. Additionally, there will be full administrative support, encompassing managing correspondence, assisting with internal group meetings and distributing minutes and agendas and any ad-hoc project work. You must have proven experience making decisions and exercising good judgment in a variety of situations. You must possess strong written and verbal communication, administrative and organisational skills. This position requires a proven ability to anticipate needs, think critically and offer solutions to problems with a high degree of professionalism and confidentiality.Our ideal candidate has previous experience as an Executive Assistant and is familiar with office management technologies. Ultimately, you should be able to proactively identify and address requirements and ensure smooth workflow.

Requirements

  • Minimum 5 years’ experience as an Executive Assistant, Personal Assistant or similar role
  • Advanced Proficiency in Microsoft Office Outlook – Word, Excel and PowerPoint
  • Flexible hours as dictated by the needs of business for projects and meetings
  • Outstanding organizational and time management skills
  • Familiarity with office gadgets and applications (e.g. e-calendars etc)
  • Excellent verbal and written communications skills in English
  • Additional language would be an advantage preferably Arabic
  • Discretion and confidentiality
  • PA diploma or certification is a plus
